Administrative Assistant
Location: On-site – Boston, MA (Federal Protective Service facilities)
Blue Rose Consulting Group, Inc. (Blue Rose) is seeking a dependable and detail-oriented Administrative Assistant to support senior leadership and operational teams within the Federal Protective Service (FPS), Department of Homeland Security. This on-site role is essential to day-to-day mission execution, public-facing coordination, and secure administrative operations supporting Region One.
You will serve as a primary point of contact for leadership offices, manage sensitive information, and ensure smooth administrative workflows in a secure federal environment.
As an Administrative Assistant, you will:
Screen and route calls and visitors for FPS leadership, including the Regional Director, Deputy Regional Director, and division chiefs; independently handle routine information requests
Receive and assist visiting agency officials and senior leaders, supporting communications and ad hoc administrative needs
Respond to public and internal inquiries by clarifying needs, researching information, and coordinating with appropriate FPS divisions to deliver accurate responses
Consult with supervisors and divisional personnel to develop responses and stay current on FPS programs, procedures, and responsibilities
Establish, maintain, and control correspondence records and files; distribute incoming mail across regional and remote FPS offices
Create, edit, calculate, store, and produce final documents (correspondence, reports, calendars, statistics, tables, labels) using Microsoft Office applications
Receive customer agency requests for additional services, edit request forms for accuracy, and route completed requests to the appropriate officials
Serve as a designated Timekeeper: review, validate, and maintain federal employee time and attendance records; coordinate corrections with the Human Capital Office; track overtime for budget oversight while safeguarding sensitive personal information
Support the Protective Security Officer Program Manager by processing Temporary Additional Services requests and preparing submission materials for the Contracting Officer’s Technical Representative
Coordinate with GSA and other agencies to schedule joint training and conference space for senior staff
Liaise with facilities maintenance providers to resolve office space issues (HVAC, telephone, lighting)
Manage secure access control systems for FPS office spaces; issue and revoke FOBs and PINs in accordance with security policies
Full-time (40 hours/week)
On-site: Monday–Friday, 0900–1700
Work performed at FPS locations in Boston, MA
U.S. Citizenship required
Experience supporting senior leadership in an administrative or office operations role
Strong written and verbal communication skills with the ability to handle sensitive information
Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint)
Ability to manage multiple priorities in a secure, fast-paced federal environment
Support frontline federal security operations with real-world impact
Work alongside dedicated public servants and experienced professionals
Stable, full-time on-site role supporting critical DHS missions
