Secretary III
Location: On-site – Boston, MA (Federal Protective Service)
Blue Rose Consulting Group, Inc. (Blue Rose) is seeking a reliable and highly organized Secretary III to provide direct administrative and operational support to senior leadership within the Federal Protective Service (FPS), Department of Homeland Security.
This role is mission-critical to the daily functioning of the Regional Director (RD) and Deputy Regional Director (DRD) offices. You will serve as a central coordination point for communications, records management, data systems, and executive travel—operating independently in a secure federal environment while handling sensitive information with discretion and precision.
As a Secretary III, you will:
Receive and screen incoming calls and visitors for the FPS Regional Director and Deputy Regional Director, routing only those requiring executive attention
Independently handle routine information requests and provide phone coverage for the program office
Assist visiting agency officials, Central Office representatives, and other Regional Directors with communications and administrative needs
Respond to inquiries by clarifying needs, researching information, and developing solutions based on knowledge of government operations and problem-solving experience
Coordinate with FPS divisions and, when necessary, Central Office or other regional experts to ensure accurate and complete responses
Establish, maintain, and control records and correspondence files for all RD/DRD office matters
Create, edit, revise, calculate, retrieve, store, and produce final documents including correspondence, reports, calendars, statistics, tables, mailing labels, and databases using Microsoft Office tools
Maintain and update a web-based regional data system by reviewing daily blotter reports and entering significant incidents in real time; independently validate data accuracy and completeness
Enter inspections, technical reports, and other operational data as required
Maintain official federal employee personnel files, ensuring records are current, complete, and safeguarded in accordance with privacy and security policies
Prepare and submit travel authorizations and expense reports for the Regional Director; arrange travel and lodging, monitor itineraries, and coordinate changes using web-based travel systems and direct vendor contact
Consolidate and prepare executive briefing materials for weekly and ad hoc meetings and conference calls
Schedule and track usage of two Regional Conference Rooms
Full-time (40 hours/week)
On-site: Monday–Friday, 0900–1700
Location: Boston, MA
U.S. Citizenship required
Public Trust clearance required or higher
Experience providing executive-level administrative or secretarial support in a federal or similarly structured environment
Strong written and verbal communication skills
Demonstrated ability to work independently, manage competing priorities, and handle sensitive information
Proficiency with Microsoft Office applications and web-based data systems
High attention to detail and strong organizational skills
Support senior leadership within a critical DHS law enforcement mission
Work in a secure, professional federal environment with real operational impact
Stable, full-time on-site role with clear responsibilities and accountability
